A proposal sent to one client, salary details shared with HR, a draft contract going round for comments — these are documents where the reader should know at a glance that the file is not for general circulation. A watermark does exactly that: it prints a label across every page that stays with the document wherever it goes, even when it is printed or forwarded.
What a Watermark Is Good For
A watermark is a visible signal, and it is strongest when the goal is to set expectations:
- Marking status — DRAFT tells reviewers the numbers or wording may still change.
- Marking sensitivity — CONFIDENTIAL or INTERNAL USE ONLY reminds people not to forward the file.
- Tracing leaks — putting the recipient's name on each page makes people think twice before sharing, because the copy points back to them.
- Branding — a company name on sample documents or previews.
What it cannot do is stop someone who is determined to copy the content. For that, pair it with a password (see the section below).
How to Add a Confidential Watermark
- Open Watermark PDF.
- Upload the PDF you want to label.
- Type the watermark text — for example
CONFIDENTIALorDRAFT – NOT FOR DISTRIBUTION. - Apply the watermark and download the new file.
- Open the result and scroll through a few pages to check the text is readable but does not hide important content.
Keep the original un-watermarked file in a safe place. Once you send the stamped version, that is the one people should be working from.
Choosing Wording That Works
Short text reads better when it runs diagonally across a page. Some practical options:

The last one is useful in Pakistan for CNIC copies and bank statements: writing something like "FOR ACCOUNT OPENING ONLY" across a copy makes it much harder to reuse that document for a different purpose without the mark being noticed.
Placement and Readability
A good watermark is noticeable without making the page hard to read:
- Light colour, large size — pale grey diagonal text is the classic choice.
- Avoid covering signatures or figures — scan the stamped pages, especially tables and totals.
- Test a printed page — some light watermarks almost disappear on cheap printers, others print darker than they look on screen.
If the document has a lot of dense tables, a shorter word such as DRAFT is less intrusive than a long sentence.

For genuinely sensitive files, add the watermark first and then protect the result with Protect PDF. The password controls who can open it; the watermark keeps the warning attached even after someone has.
Before You Send
- Remove pages the recipient does not need using Remove Pages.
- If the file is large for email, run it through Compress PDF after watermarking.
- Send the password through a different channel from the file itself.
