Online job applications are strict about files. A portal might want your CV under 1 MB, your degree under 500 KB and your domicile or CNIC copy under 200 KB — and it rejects anything larger without much explanation. Getting each document to the right size is a small task, but it can decide whether your application is submitted at all.
Step 1: Read the Requirements First
Before touching any file, note down for each upload field:
- The maximum size (in KB or MB).
- The allowed format (PDF only, or JPG accepted too).
- Whether it wants one combined file or separate files.
Writing this down prevents the common mistake of compressing everything to the smallest limit and ending up with blurry documents where it was not necessary.
Step 2: Prepare Your CV Properly
Export your CV directly from Word or Google Docs as a PDF — do not scan a printed copy. A typed CV exported this way is usually under 300 KB. If yours is bigger, the photo is the likely culprit. Step 3: Scan Certificates Sensibly
- Use a scanner app or a flatbed scanner at 150–200 DPI.
- Choose greyscale unless colour is required (for example, a coloured stamp).
- Crop out the table or background around the page.
Step 4: Compress Each File
- Open Compress PDF.
- Upload one document.
- Start with the ebook level and check the result.
- If it is still above the limit, try screen.
- Repeat for each document.

Step 5: Combine Only If Asked
When the portal wants a single file, put the documents in the order the ad lists them, then use Merge PDF and compress the merged file once more.
A Worked Example
A candidate has a 3.8 MB CV (with a large photo), a 6 MB colour scan of a degree and a 4 MB photo of a CNIC. After replacing the photo and exporting again, the CV drops to 180 KB. The degree, rescanned in greyscale and compressed at ebook level, becomes 420 KB. The CNIC photo is converted with JPG to PDF and compressed to 150 KB. All three now fit a portal with a 500 KB-per-file limit.
Final Checks Before Uploading
- Open every file and confirm it is readable.
- Make sure names, dates and grades are clear when zoomed in.
- Use clear file names such as *Sana_Iqbal_CV.pdf*.
- Keep the original, uncompressed versions saved for future applications.
Common Rejection Reasons
- Wrong format: uploading a Word CV where only PDF is accepted.
- Wrong document in the field: a CNIC in the degree slot. Name files clearly so you do not mix them up.
- Password-protected files: portals cannot read locked PDFs.
- Blurry scans: if a recruiter cannot read your grades, the application may be marked incomplete.
