Online visa portals are unforgiving: a file that is 200 KB too large, a blurry passport page, or a statement uploaded in the wrong slot can delay your application or trigger a request for more documents. Spending an hour preparing your PDFs properly is far cheaper than a rejection.
This guide covers the file side of the process. Always follow the official checklist for the country you are applying to — requirements differ and change.
Step 1: Collect and Scan
Typical documents include your passport bio page, CNIC, photographs, bank statements, employment or enrolment letters, sponsor documents, travel bookings and previous visas. For each one:
- Scan at around 300 DPI, or photograph in daylight on a dark, flat surface.
- Capture all four corners — cropped edges are a common reason for rejection.
- Keep passport and ID scans in colour unless told otherwise.
- Make sure text, photos and stamps are readable when zoomed in.

Step 2: One File per Upload Slot
Most portals have separate slots — "Passport", "Financial evidence", "Employment". Build one PDF for each slot:

Use Merge PDF to put several pages for the same slot into one file, and Organize PDF to get the order right — for example, bank statements from oldest to newest.
Step 3: Remove What Isn't Needed
A six-month bank statement may include cover pages, marketing inserts and blank sheets. Delete them with Remove Pages, or take only the pages you need with Extract Pages. Smaller, focused files are quicker for an officer to review and easier to keep under size limits.
Step 4: Get Under the Size Limit
Check each file against the portal's limit and compress where needed with Compress PDF. Scanned documents often shrink a lot; statements exported directly from online banking are usually small already. Step 5: Unlock Password-Protected Statements
Bank e-statements in Pakistan are often password-protected, and many portals reject encrypted files. If the statement is yours and you know the password, remove it with Unlock PDF before uploading.
Step 6: Name Files Clearly
Use descriptive names so nothing gets mixed up — both for you and for the officer:

Avoid spaces and special characters if the portal behaves strangely with them.

- Every required slot has a file, and each file contains only what that slot asks for.
- All files are under the size limit and open without a password.
- Pages are the right way up (fix any with Rotate PDF).
- You have kept copies of everything you uploaded.
